The Training Matrix forms the heart of the Training Record Management System. Using this straightforward functionality, you can automate training renewal notifications, create training topics specific to company roles, and generate an easy-to-read grid that maps out all company-wide employee training requirements.

Large organizations often find that the management & tracking of their employee’s training challenging as they require huge investments of time and energy. Often this is because paper-based filing systems introduce human error and require manual verification. To overcome these challenges, the solution is to automate the entire process. To begin automation, create your company-specific training matrix by creating employee roles & training topics, then assigning role-specific learning requirements, such as assigning First Aid as a requirement for supervisor roles. You can even control training requirements that are based on employee location to account for regional safety regulation differences. Once set up, the system automatically delivers specified training requirements to employees based on their role and location.
The system also tracks employee files and automatically updates training requirements as training is completed. Managers can then see whose training is up to date and who needs additional training. As training is completed, certificate expiry dates and renewal notifications are automated to remind employees and their managers of any training that is either about to expire in 90 days or has already expired. The tracking is so detailed that, with just one click, you can download a gap analysis that identifies all potential compliance issues and missing training in an easy-to-follow Excel report.
Assign Training Faster Than Ever
You can quickly and easily customize training for different roles and locations within your company all with the advanced Training Matrix feature. Enter a list of your company’s unique company roles (i.e. Carpenter) and a list of the required training topics (i.e. First Aid and Ground Disturbance 201) and our system will automatically generate a training matrix unique to your company. To assign training to roles, simply click on the boxes where the role and required training intersect. It really is that easy!
It’s no problem to set your training requirements by role and by location. Our system makes it easy to get granular and customize company training requirements by location and/or role. So even if, for instance, Operators in one location need Forklift training but not in other locations, our system can handle it.
You are even able to choose which exact courses you will accept for each training topic. You enter the training topic (e.g. Forklift Safety) then choose which training provider (e.g. XYZ Safety) and format (e.g. online) you will accept. Only training that meets these requirements will be accepted.
Automated notifications on expiring courses are sent to workers, manager, and system administrators so you can ensure everyone, regardless of department, region, or location, knows where they are in terms of compliance for their training requirements.
Gap Analysis Reporting
After you have assigned required training to all employees, now you have to follow up to make sure the required training is complete. With a simple click of a button, you can pull a training gap analysis report to determine which individuals are behind in their training. A Microsoft Excel report will be generated that has all the details including the individuals’ first and last name, company location, and their required training topic(s).
Advanced Training Matrix Features
The core of the Training Matrix is an advanced course permission management system that allows you to assign online courses to all employees with a specific company role. The system will automatically add that course to all employee accounts with that role, and the integrated system logic will prevent the course from being added to employee accounts that already have access or have already successfully completed it.
When the Training Record Management System and Training Matrix combine, the system’s powerful algorithms can identify all required training programs for any individual and compare it against his/her completed online and classroom training. This creates a detailed gap analysis report so that you can quickly identify what regions, departments, divisions, work sites, or even individual employees are behind on their training requirements and what specific courses are missing.
Companies operating in multiple locations often deal with variations in regional training requirements. In one part of the province, St. John’s Standard First Aid may be preferred over Red Cross. Or maybe a specific job site specifically requires H2S Alive from ENFORM. With so many variations, how do companies properly map out training requirements?
Using the location-specific functionality of the Training Matrix, you can set different requirements by province, region, division, and even work site. Simply select the location, set its unique training requirements, and the system will do the rest.
There are multiple layers of automated notifications integrated in the Training Matrix, including email notifications for expiring tickets. These notifications automatically go to all employees who have tickets that will expire in 90 days or have already expired. Notifications also go to each manager or supervisor to let them know what employees have expiring tickets.
Best of all, assigning any new online training requirements will instantly notify each user assigned that course that it is available. Login instructions will be provided right in the notification email.
